Practice & review: Clear written communication in banking

Banking communication should make the required action, supporting facts and next step easy to understand. Clear writing improves service, creates a useful record and reduces errors caused by ambiguity.

The worked question on this page is original educational practice. It is not represented as a question from an official previous-year examination paper.

01 / UNDERSTANDING

Review the question

Build an original editing exercise containing an ambiguous request and unnecessary detail. Assess whether the rewritten version states the action and approved channel, rather than rewarding a longer message. Give the learner a technically correct but ambiguous message and ask for a usable rewrite. Award reasoning for naming the required action, checking the approved channel and separating confirmed facts from assumptions, rather than for decorative formal language or length.

02 / UNDERSTANDING

The concept in context

Communication also needs an appropriate channel and record. Sensitive information should follow the institution's approved handling rules. A courteous tone does not compensate for unclear instructions, and a complete operational note should distinguish verified facts, customer statements and actions still awaiting completion.

03 / UNDERSTANDING

A worked learning case

A customer receives a vague request to provide pending documents. The officer rewrites it to name the missing document, explain why the bank needs it and identify the approved submission channel. The revised message also states whom to contact for clarification, without including unnecessary sensitive account information.

ORIGINAL EDUCATIONAL PRACTICE

Try it before you check.

What is the main weakness of a request that merely says submit pending documents?

Show the answer and reasoning

It does not identify the required action precisely.

The customer cannot reliably act without knowing which document is missing and how it should be submitted. A useful message specifies the item and approved next step in understandable language. The officer should verify the facts before sending it and retain an appropriate record of the communication.

Two traps to watch for.

  • Using unexplained internal abbreviations in customer requests.
  • Mixing verified facts with assumptions in the service record.

YOUR TOPIC-SPECIFIC LEARNING MAP

Learn from the attempt

  1. Rewrite the vague request using a named missing document.

  2. Check the submission channel and contact details for accuracy.

  3. Separate completed actions from pending actions in the note.

Explain the idea, apply it to a new situation, then check what changed in your reasoning.
