Topic guide: Bank reconciliation and timing differences

Bank reconciliation explains differences between the cash book and the bank statement at a specified date. Timing items and missing entries must be distinguished before adjusting records or interpreting the available balance.

01 / UNDERSTANDING

Learning objectives

Study cash-book and statement viewpoints, timing items, omissions and errors. The objective is to explain each difference and identify which record, if any, requires a justified correction. Use a worksheet with columns for the item, reason, affected record and treatment. Populate it with the unpresented payment and the unrecorded charge, then explain why one is a timing reconciliation and the other needs a bookkeeping entry. The classification matters as much as the final total.

02 / UNDERSTANDING

The concept in context

The customer's cash book and the bank statement may record the same transaction on different dates. An issued payment not yet presented and a deposit not yet credited create timing differences. Bank charges or direct receipts may instead need entries in the customer's books.

03 / UNDERSTANDING

A worked learning case

A trader's cash book includes a payment that has not yet appeared on the bank statement. The statement also shows a service charge not yet entered by the trader. The reconciliation lists the unpresented payment as a timing item and records the missing charge through the appropriate bookkeeping adjustment.

ORIGINAL EDUCATIONAL PRACTICE

Try it before you check.

Should an accurately recorded unpresented payment be erased merely because it is absent from the statement?

Show the answer and reasoning

No.

The difference may arise because the bank has not yet processed a correctly issued payment. That timing item belongs in the reconciliation, while the underlying accurate entry remains. A separate omission, such as an unrecorded charge, requires its own adjustment based on evidence rather than forcing both records to match blindly.

Two traps to watch for.

  • Reversing every unmatched item without investigating its cause.
  • Applying adjustments without stating the starting balance and viewpoint.

YOUR TOPIC-SPECIFIC LEARNING MAP

Your revision map

  1. State whether reconciliation starts from the cash book or statement.

  2. Separate the unpresented payment from the missing charge.

  3. Trace each difference to supporting evidence before adjusting entries.

Explain the idea, apply it to a new situation, then check what changed in your reasoning.
